Rapid Report filing guidelines

This guide provides the basic Rapid Report requirements and filing instructions.

AAM Rapid Report allows publishers to report key top-line circulation data on an issue-by-issue basis within weeks of the on-sale or distribution dates. This report providers buyers with timely access to circulation data. The following are a few frequently asked questions and step-by-step instructions for filing Rapid Report data.

General Information and Guidelines:

Who is required to file Rapid Report?  All U.S. consumer magazines with circulation of more than 250,000 are required to file data for each issue. Filing is optional for magazines with circulation less than 250,000.

What are the deadlines for filing Rapid Report? Initial data submission is due no later than the end of the calendar month following the issue date. Rapid Report claims can be updated until the publisher’s statement filing deadline for that period. After the deadline, the submitted claims are frozen and no future updates are allowed. Below are deadline examples for a particular issue:

Issue Name Example
Monthly issues The January issue is due no later than the last day of February. The February issue is due no later than March 31.
Month and date issues The Jan. 15 issue is due no later than the last day of February. The March 4/5 issue is due no later than April 30.
Season-named issues (summer, fall, winter, spring) AAM requires that a calendar date is applied to all issues. Seasonal issues will have a due date that aligns with their assigned dates. Typical dates assigned are July for summer, September for fall, January for winter and April for spring.

The due date for a summer issue assigned a July date is Aug. 31. This assumes the summer issue will be reported in the December-ending statement period.
Bimonthly issues Due with the first month noted in the issue name. A March/April issue is due by the end of April with all other March-dated issues.
Issues with special names (not calendar dates) These issues require a calendar date assignment similar to issues with seasonal names.

If a “Wedding Issue” appears between the January and February monthly issues, the publisher is required to assign a calendar date that falls between Jan. 1 and Feb. 1. Initial filing for this issue would be due at the end of February.


What happens if I miss the Rapid Report filing deadline? For magazines that are required to file issue-by-issue data in Rapid Report and miss the deadline, the following occurs:

  • If more than a month passes after the deadline with no data, a notice appears in the Rapid Report output that the magazine’s data is past due.
  • If the magazine misses several reporting deadlines, the noncompliance is reported to the AAM board of directors.

Where will my released Rapid Report data be located:  Your released Rapid Report data will appear in your publication’s Brand View profile under the Rapid Report tab located in AAM’s Media Intelligence Center. This tab will automatically update with each Rapid Report data release.

Filing Instructions:

1. Publisher Filing Center Menu: Access the Rapid Report filing tool by logging into the Publisher Filing Center, and selecting Rapid Report from the menu.

2. Introduction: Here you’ll find basic information about Rapid Report, including the rule and policies about submission deadlines.

3. Issue Information: In this section, you will enter the following:

  • Issue Name
  • Issue Date
  • Rate Base (If applicable)
  • Indicate if Special Issue

Some data for the six-month period will pre-populate. This screen will show:

  • The issue name
  • Issue date, which must only be entered if the issue name is a word instead of a date (such as Bridal issue or Holiday issue)
  • Rate base for each issue, if declared in your media kit
  • If this is a special issue
  • Status as to whether the data entered has been posted or just saved
  • And the date the status was last changed

You may edit any of the issues’ information by clicking on the field and entering your changes. You may also add or remove issues (rows) by clicking the “+” or “x” icons. When you are finished entering or editing the data, click Save or Save & Continue.

4. Circulation: In this section you’ll enter the circulation data for each issue. The issue names will pre-populate based on information entered on the Issue Information page. Enter the following applicable print and digital data elements for the issue:

  • Paid subscriptions
  • Verified subscriptions
  • Single-copy sales
  • Analyzed nonpaid circulation

Quick Tip:  Print and digital replica data are reported separately for each distribution category.

Select the Show Totals button to view the total circulation for the entered data. Click Save to retain your data.

When you’re ready to post the data to the Media Intelligence Center, click the icon under Post for each issue in the far-right column.

5. Review Data: In this section, you can review the data you posted on the previous screen. This is how your data will appear in Brand View to Media Intelligence Center users.

Final Quick Tips:

  • To edit your data, go back to the Issue Information or Circulation sections.
  • Remember, the initial data must be submitted by the end of the month following the issue date.

When filing your publisher’s statement, you can import your Rapid Report data for the issue-to-issue section to eliminate rekeying of data.
